The smart tachograph requirement for vans

But what does that actually mean for you?
Back to basics: what is a tachograph?
A tachograph is a device in your vehicle that automatically records how long and how fast you drive. Think of it as an automatic logbook: driving time, rest time, speed and distance travelled — all registered without your driver having to do anything.
Why does it exist? To check whether drivers comply with the legal driving and rest times. It’s not there to make life difficult, but to prevent anyone from driving while being tired and to ensure that everyone in the sector plays by the same rules.
And what makes the “smart” tachograph smart?
The early models used paper discs, later came the digital version. The smart tachograph goes a step further and automates much more:
- It records via GPS where and when you drive and stop
- It automatically logs when you cross a border
- It can be read remotely by authorities without you having to stop
- It is better protected against fraud and tampering
- It works fully digitally, linked to the driver’s driver card
In short: where the standard tachograph mainly recorded data, the smart tachograph actively supports the process — more accurate, more automated and much harder to bypass.
When is a smart tachograph mandatory?
The smart tachograph requirement applies from 1 July 2026:
- If you drive a van or light commercial vehicle with a GVW above 2.5 tonnes
- If you carry out international commercial transport for third parties or perform cabotage activities
- If driving is a substantial part of the driver’s job
Important: The obligation also applies to empty transport. Even after your cargo has been delivered, the tachograph requirement remains in force.
What should you do now?
For many companies, this obligation has a significant impact on daily operations. And it goes beyond administration and fleet management alone: your cost structure, route planning, working hours and driver follow‑up all need to be reviewed.
So start by mapping out where you stand today:
- Which vehicles in your fleet exceed 2.5 tonnes GVW
- Whether your route planning and work schedules align with the new driving and rest time rules
- Which smart tachograph is suitable for your vehicle type
- Which drivers need a driver card
- How you will manage and store tachograph data
In short: taking a moment to look ahead now will save you a lot of headaches later.
Exemptions
